    The Draft Animal-Power Field Days will be held in Barton, Vermont at the Orleans County Fairgrounds, right off I-91, exit 25.

    Hope you can make it and we’d love have your help if you can spare some time & expertise.

    April 4, 2013 MINUTES – Chase, Harrigan, Johnson, Seybolt.
    – Jay gave an overview of our financial need and timing in 2013 pointing out that events and other projects need to cover more of our overhead. We are depending on membership to cover our non-FD expenses.
    – We agreed to apply to JEFFREY’S TRUST for $10,000 for FD possibly focusing on the animal aspect. Brad will write a letter summarizing our use of the $7500 2012 grant this week and follow up with a grant application this month.
    – Tim is almost complete in the re-application to ORGANIC VALLEY for a $5000 grant focusing on the organic track at the FD. The application will be sent within the week. He will also look into using the same grant with the Organic Farming Research Foundation (ofrf.org).
    – Tim updated us on the idea of a NE SARE Farmer to Rancher Grant which is due in November. We need to have an event to do this around in 2014 or the FD in 2015. Carl has not expressed an interest recently in the Forestry project. We would need to have an event in mind soon.
    – Jay is a member of the FARMER VETERAN COALITION and will approach them to see if they might be interested in promoting the FD to their members by buying a block of tickets.
    – Reva is going to research possible grantors in the areas of ANIMAL welfare, educating people to work with animals, and reintegrating draft animals before summer.
    – Brad agreed to look into KICKSTARTER.COM as a source of income. He will check with a friend who knows more about it and the other on-line funding organizations, and then ask on the forum if there is anyone who might help us develop a proposal.
    – Brad will check in with BEKAH to get the info that he and Jay need re FD. Reva suggested that they all attend a FD meeting to become better acquainted with what is going on with FD.
    – We had a discussion about whether we should be seeking grants or be supported by our MEMBERSHIP, particularly in relation to the current membership discussion. There a a place for both and we need to boost our membership income.
    – We need to develop a percentage breakdown/goal for covering our operating expenses between membership, grants, events, and advertising.
    Jay and Reva will be creating that in looking at 2012 and when we revise the 2013 budget in June.

    2/10/13 DAPNet Board of Directors Meeting

    Present: Reva Seybolt, Andy Carson, Ed Thayer, Donn Hewes, Jean Cross, Brad Johnson (reporting), Tim Harrigan, Erika Marczak, Bekah Perry

    Minutes from December meeting accepted, with special mention of good work at the retreat by Kenneth and Bekah as well as all others attending.

    January financial report emailed out by Reva. Some discussion over formatting of reports – excel vs. quicken – but no consensus on which is preferable. Report accepted as written and detailed by Reva.

    Field Days 2013 report emailed out by Donn. Sponsorships coming in, even though ask letters have not yet gone out. Donn and Jean both feel as though the process of planning is gaining momentum now.

    Web redesign process reported by Andy, and report emailed out. Some explanation from Andy on DAPNet.com vs. DAPNet.org for name of one platform that will result from this work. More ads will be used to generate increased revenue from new site. Longtrail Web Design is generating mock-up of new platform and site for BOD to look at and comment on. Andy mentioned that we still need to address question of how we retain legal ownership of site content once it is up and running, in event that Longtrail folds or other problems arise. A clear contract is needed at this point. New format will include $5 fee to join as a member of the forum, and new security questions in place to catch spammers on site. Some discussion of whether or not site traffic is up or down, with no real consensus. Justin Moritz and Kevin Cunningham are joining the website committee.

    Lincoln Woods project follow-up discussed, and report emailed out by Ed. Many thanks to one and all whose work made it all possible. Decisions in process about what to do with the footage shot in site, and Ed is going to interview FS personnel and report back to BOD. Ed reported that Carl, Brad T., and some others are thinking of a Woodsmen’s Week in our area, similar to event down in VA. Many details to work out on this one.

    Current budget report detailed by Reva, in three sections – Field Days, Web redesign, and Programs and Events. Each budget was accepted with little discussion. BOD OK’ed Ed to build scoot to raffle for P&E fundraiser, with expenditure of $250. Reva mentioned that spending limits and process for BOD and committees remains the same.

    Bekah delivered Administrators report. 1099 and contract with between her and DAPNet still being worked out. Julie Clemmons will serve as FD volunteer coordinator, but as independent contractor not an employee (same as Bekah). Memorandums of Understanding for both being drafted now. Some discussion of budget details for Bekah and Julie.

    Nominating process still on-going to fill out board. Brad J. will serve as temporary secretary, and Jay Chase coming on as Treasurer with a one-month trial period. He will join the Exec Com.

    Some follow-up discussion to emails about hyphen in our name. After much wrangling, decided to put hyphen in name, which will include change to bylaws. Consistency is needed here. Donn with follow up with this process, and change was accepted.

    Future meeting schedules emailed out by Reva, but may be some changes for committee members’ schedules. Bekah recommended a calendar with meeting times and dates on site.

    No new business, meeting adjourned.

    Minutes from BoD meeting, 4/14/13, Brad Johnson, Secretary:

    4/14/13 DAPNet Board of Directors Meeting Minutes

    Present: Reva Seybolt, Jean Cross, Donn Hewes, Brad Teeter, Ed Thayer, Bekah Perry, Brad Johnson, Tim Harrigan, Erika Marczak

    Donn volunteered to moderate the meeting, as Jay Chase was not present.

    Bekah will work with Gabe to make sure that the forum sends out automatic emails to BOD members to alert them that meeting minutes have been posted to the forum.

    Reva formally nominated Jay Chase (not Jay Fisher) to serve on the board as Treasurer and Moderator. He has been serving in this capacity for several months, and he was accepted by consensus with no discussion.

    The Treasurer’s report was not discussed, but Jay has emailed it.

    Bekah gave the Administrator’s report, saying that FD details are coming along nicely. The spring newsletter is her next project, and she needs articles from members for this issue. Stories describing DAPNet events will be the focus, including the FD’s, Spring Wood Bee, Lincoln Woods, or the Plowing Weekend (if it fills).

    Membership was next, with Donn following up on the email he sent about continuing the discussion on how we should proceed with membership in the future. He will make a concrete proposal based on ideas that have been floated thus far.

    Donn continued with a report from the Web committee. More help is needed on this group, as it is just Donn and Andy Carson at the moment. The new website is getting positive responses. Ed suggested putting up meeting minutes and agendas in the BOD section of the forum, as was done previously.

    Ed reported on activities of P&E committee. Carl Russell is interested in putting on a woodsmen’s week someone in the northeast in the fall of 2014. There will be a round-table discussion at the FD to start the planning process. It looks like the SARE grant will not be applicable for event funding, so other sources will need to be explored. More details are needed before we can seek grant funding for this event. In other event news, there are not enough participants signed up for the plowing workshop, and a decision will need to be made by Tues as to whether or not to proceed with the event. Erika and Bekah will make the final call based on sign-ups.

    Reva continued with a report from the Financial committee about grants and other funding issues. Thanks to Tim for putting together an excellent proposal to Organic Valley. There is a definite need to reconnect animal power to the mainstream organic movement, and hopefully this grant will be a start. A proposal to Jeffery’s Trust for FD funding will go in this week. Also, Brad J. is pursuing crowd source funding for the FD this fall.

    Bekah gave the FD committee report next. The advertising poster is finalized and going to print, 2 – sided. Letters asking for sponsorships are going out soon with help from the BOD, and $2000 is already in. There will be several July meetings in Barton to plan the set-up. Camping reservations can be made soon. There was some discussion of whether or not to charge folks who sleep in their vehicles, and the committee will discuss this matter further.

    Reva came next with Nominating committee work. She will be emailing a list of potential new BOD members. These newcomers will be joining this fall so that they will hit the ground running come annual meeting time. A November retreat was discussed, but there was no consensus about whether or not this was a good time to hold a retreat.

    New business closed out the meeting, with Ed asking about going forward with the log scoot raffle via the new site. Bekah will check with RV to make sure that this is a legal fund raising strategy.

    We did it!!!   Lots more changes coming in the the next few weeks, but welcome and enjoy!   Thanks to Gabe and the team at Long Trail Web, great job. If you are having trouble with the site please let us know – we will get you going.
